B. Responsibilities & Duties
As a GC&Events trainee you will be introduced to all aspects within the department. Your daily routine consists of administrative, organizational, and supportive tasks. Together with the GC&E Team you will establish potential business partners and designing and maintaining our social media pages. You will also be actively involved in the conversion process to a franchise with a well-established international brand. As GC&Events Trainee, you will assist in performing the following tasks to the highest standards:
• Organize customer meetings and conduct site inspections.
• Send out proposals and contracts (groups and seminars).
• Draft and send contracts, after receiving confirmation e-mail.
• Enter rooming lists…
• Monitor and enter all booking activities in Opera.
• Create function sheet to communicate all group details to operational departments, from arrival to invoicing.
• Transmit function sheets to operations.
• Attend weekly Events meetings.
• Maximize sales opportunities through upselling.
• Participate in the closing of sales and know the legal implications.
• Use available electronic tools: Cvent etc.
• Promote the hotel to achieve annual objectives.
• Administer the full execution of all planned events.
• Develop sales and strengthen relationships with new and existing customers.
• Provides weekly updates on contracts (follow-up on deposits, return of signed contracts, etc.).
• Process customer invoices in a timely manner.
• Ensure filing of files.
• Research and improve customer services.
• Follows and enforces hotel procedures including health and safety.
• Share information with the rest of the team.
• Be in constant contact with all hotel departments.
